Vyzzor Privacy Supplement

This Privacy Supplement provides additional information about privacy practices that are specific to Vyzzor LLC.

It supplements and forms part of Vyzzor LLC’s primary Privacy Policy. It does not replace the Privacy Policy or reduce any privacy right described there.

This Supplement should be read together with:

In this Supplement, “Vyzzor,” “we,” “us,” and “our” mean Vyzzor LLC.

1. Scope of This Supplement

This Supplement provides additional details concerning personal information processed through Vyzzor’s specific business activities, including:

  • Product customization;
  • Artwork uploads;
  • Electronic design approvals;
  • Printing and production;
  • Business and employee information included in customer designs;
  • Customer communications;
  • WhatsApp and social-media messaging;
  • Product reviews;
  • Portfolio and promotional use;
  • Production claims;
  • Shipping claims;
  • Chargebacks;
  • Fraud prevention; and
  • Retention of artwork and production records.

The primary Privacy Policy describes broader processing performed through Shopify, Shopify Network Intelligence, checkout, customer accounts, cookies, advertising technologies, privacy rights, and other ecommerce functions.

2. Information Submitted for Product Customization

When a customer creates, customizes, approves, or purchases a product, Vyzzor may collect and process:

  • Artwork;
  • Logos;
  • Photographs;
  • Illustrations;
  • Text;
  • Names;
  • Job titles;
  • Company names;
  • Employee or contractor information;
  • Training or role information;
  • Identification information included in a design;
  • Telephone numbers;
  • Email addresses;
  • Website addresses;
  • QR codes;
  • Barcodes;
  • Variable data;
  • Dimensions;
  • Shapes;
  • Color selections;
  • Materials;
  • Finishes;
  • Cut lines;
  • Production instructions;
  • Uploaded files;
  • Digital proofs;
  • Design previews;
  • Approval records;
  • Date and time of approval; and
  • Technical information associated with the customization process.

Vyzzor uses this information to prepare, manufacture, inspect, fulfill, ship, reproduce, or support the applicable order.

3. Electronic Artwork Approval

Customized orders may require the customer to review and electronically approve a design representation before completing the purchase.

The approval may be recorded through:

  • A checkbox;
  • A confirmation control;
  • An approval button;
  • A product-customization interface; or
  • A comparable electronic mechanism.

Vyzzor may retain information concerning:

  • The design approved;
  • The approval date and time;
  • The order associated with the approval;
  • Product selections;
  • Customization instructions; and
  • Other technical or transactional evidence reasonably necessary to document the approval.

Approval records may be used to:

  • Produce the order;
  • Confirm customer instructions;
  • Investigate production issues;
  • Resolve refund or reprint requests;
  • Respond to payment disputes or chargebacks;
  • Prevent fraud; and
  • Establish, exercise, or defend legal claims.

4. Personal Information About Employees and Other Individuals

Customers may submit information about employees, contractors, visitors, customers, organization members, or other individuals for use in customized products.

This information may include:

  • Names;
  • Titles;
  • Roles;
  • Training descriptions;
  • Authorization status;
  • Photographs;
  • Company affiliations;
  • Identification numbers;
  • Dates;
  • Contact information; or
  • Other information included in the customer’s design.

The customer is responsible for ensuring that:

  • The information is accurate;
  • Its submission is lawful;
  • The customer has authority to provide it;
  • Any legally required permission has been obtained;
  • Any required privacy notice has been provided; and
  • The information is limited to what is reasonably necessary for the intended product.

Vyzzor does not independently verify whether a customer has obtained every authorization or consent required to submit information about another person.

Vyzzor may refuse or suspend an order if the submitted information creates a substantial privacy, fraud, safety, or legal concern.

5. Sensitive Information

Vyzzor does not ordinarily require highly sensitive personal information to manufacture its standard products.

Customers should not upload or send information such as:

  • Social Security numbers;
  • Complete financial-account information;
  • Payment-card numbers;
  • Account passwords;
  • Government identification documents;
  • Medical records;
  • Biometric identifiers;
  • Precise geolocation history;
  • Immigration documents; or
  • Personal information belonging to a child.

If a design legitimately requires information that may be sensitive, the customer must contact Vyzzor before submitting it.

Vyzzor may delete, reject, restrict, or request modification of content containing unnecessary sensitive information.

6. Customer Communications

When a customer communicates with Vyzzor, we may collect:

  • Name;
  • Email address;
  • Telephone number;
  • Company information;
  • Order number;
  • Message content;
  • Attachments;
  • Photographs;
  • Videos;
  • Voice messages;
  • Quote information;
  • Complaint or claim information;
  • Customer-service notes; and
  • Other information voluntarily supplied.

Communications may occur through:

  • Email;
  • Website contact forms;
  • Customer chat;
  • Telephone;
  • Social media;
  • WhatsApp; or
  • Other communication services adopted by Vyzzor.

We use this information to:

  • Respond to inquiries;
  • Prepare quotations;
  • Process orders;
  • Review artwork;
  • Provide customer support;
  • Investigate claims;
  • Resolve disputes;
  • Prevent fraud; and
  • Maintain appropriate business records.

7. WhatsApp and Social-Media Messaging

Vyzzor may use advertisements or social-media campaigns that allow users to initiate a conversation through WhatsApp, Facebook, Instagram, TikTok, or another messaging platform.

When a user initiates a conversation, Vyzzor may receive:

  • Profile name;
  • Username;
  • Telephone number;
  • Profile image;
  • Message content;
  • Attachments;
  • Photographs;
  • Videos;
  • Voice messages;
  • Order information; and
  • Other information the user chooses to provide.

The applicable social-media or messaging platform independently processes information according to its own privacy policy and terms.

A customer-service inquiry initiated through WhatsApp or social media does not automatically constitute consent to receive unlimited or unrelated recurring promotional messages.

Transactional or customer-service messages may still be sent when reasonably necessary to respond to the inquiry, complete a requested transaction, or service an existing order.

Customers should not use messaging platforms to send:

  • Complete payment information;
  • Passwords;
  • Government identification;
  • Social Security numbers;
  • Medical information; or
  • Other unnecessary sensitive information.

8. Reviews and User-Generated Content

Vyzzor may use Judge.me or another review service to collect, verify, manage, and display customer reviews.

Information processed for reviews may include:

  • Customer name or display name;
  • Email address;
  • Order-verification information;
  • Product purchased;
  • Review text;
  • Rating;
  • Photographs;
  • Videos;
  • Date of submission;
  • Customer response information; and
  • Technical information associated with the submission.

When a customer submits content for public display, that content may become visible to other users.

Customers should not include in a public review:

  • Private contact information;
  • Employee records;
  • Confidential company information;
  • Private QR codes;
  • Financial information;
  • Information about another person without authority; or
  • Other sensitive information.

Review providers may process information according to their own privacy policies.

9. Portfolio and Promotional Use

As described in the Terms & Conditions, Vyzzor may photograph completed products and display non-confidential portions of those products in:

  • Product galleries;
  • Portfolios;
  • Social-media accounts;
  • Marketing materials;
  • Advertising;
  • Trade presentations; or
  • Examples of production capabilities.

Customers who require confidentiality must notify Vyzzor in writing before production begins.

Vyzzor will not knowingly publish:

  • Personal identification information;
  • Private employee records;
  • Medical information;
  • Confidential access credentials;
  • Private QR codes;
  • Unreleased campaign information;
  • Materials subject to a written nondisclosure agreement; or
  • Content expressly identified as confidential before production.

Portfolio use does not transfer ownership of the customer’s brand, trademark, artwork, or other intellectual property to Vyzzor.

A customer may request review or removal of a portfolio example by contacting contact@vyzzor.com. Removal may not be immediate or possible for physical materials already printed or distributed, archived materials, completed advertising placements, or other uses that cannot reasonably be withdrawn.

10. Production, Shipping, and Claim Evidence

When investigating a production, fulfillment, return, shipping, or delivery issue, Vyzzor may request and process:

  • Order information;
  • Photographs;
  • Videos;
  • Measurements;
  • Quantity counts;
  • Packaging photographs;
  • Shipping labels;
  • Tracking information;
  • Carrier records;
  • Delivery confirmations;
  • Surface or installation photographs;
  • Environmental information;
  • Original artwork;
  • Approved design records;
  • Written statements;
  • Physical product samples; and
  • Communications concerning the claim.

This information may be disclosed to:

  • Shipping carriers;
  • Payment providers;
  • Insurers;
  • Technology providers;
  • Professional advisers; or
  • Other parties reasonably necessary to investigate and resolve the claim.

Vyzzor uses claim evidence to:

  • Verify the issue;
  • Determine an appropriate remedy;
  • Present a carrier claim;
  • Detect duplicate claims;
  • Respond to a chargeback;
  • Prevent fraud; and
  • Establish, exercise, or defend legal rights.

11. Payments, Fraud Review, and Chargebacks

Vyzzor generally does not directly receive or store complete payment-card numbers.

Payment information may be processed by Shopify Payments, Shop Pay, PayPal, Google Pay, card networks, financial institutions, digital-wallet providers, or other payment services selected by the customer or made available through the Site.

Vyzzor may receive limited information such as:

  • Payment status;
  • Payment method;
  • Card brand;
  • Last digits of a card;
  • Billing information;
  • Transaction identifier;
  • Authorization result;
  • Refund status; and
  • Fraud-risk information.

Shopify, payment providers, and security providers may evaluate orders for fraud, unauthorized activity, payment risk, or other security concerns.

When responding to a payment dispute or chargeback, Vyzzor may provide the payment provider with:

  • Order records;
  • Customer approvals;
  • Artwork records;
  • Customer communications;
  • Shipping information;
  • Tracking;
  • Delivery evidence;
  • Claim history; and
  • Other documentation reasonably related to the disputed transaction.

12. Service Providers and Business Partners

Vyzzor may use service providers to perform functions such as:

  • Ecommerce hosting;
  • Checkout;
  • Payment processing;
  • Digital wallets;
  • Customer accounts;
  • Product customization;
  • Artwork uploads;
  • File storage;
  • Digital proofs;
  • Approval recording;
  • Email delivery;
  • Customer communications;
  • Chat;
  • Reviews;
  • Analytics;
  • Advertising;
  • Social-media messaging;
  • Fraud prevention;
  • Shipping;
  • Accounting;
  • Legal support;
  • Technical support; and
  • Data security.

The specific providers used by Vyzzor may change over time.

Vyzzor may provide service providers with personal information reasonably necessary to perform authorized services, administer a transaction, protect the business, or comply with legal obligations.

Some providers may independently determine how they process certain information and may have their own privacy policies and terms.

The use of a new provider does not authorize Vyzzor to use personal information for an unrelated purpose that has not been disclosed or otherwise permitted by law.

13. Advertising and Analytics

Vyzzor may use services provided by Shopify, Google, Meta, TikTok, and other advertising or analytics providers.

These services may process:

  • IP address;
  • Cookie identifiers;
  • Device identifiers;
  • Browser information;
  • Approximate location;
  • Pages viewed;
  • Products viewed;
  • Cart activity;
  • Purchases;
  • Advertising interactions;
  • Campaign source;
  • Conversion events;
  • Hashed identifiers; and
  • Inferences concerning interests or likely purchasing behavior.

Depending on applicable state law, certain advertising-related disclosures may be considered:

  • Sale of personal information;
  • Sharing of personal information; or
  • Processing for targeted advertising.

Vyzzor does not sell personal information in exchange for monetary payment.

Privacy choices concerning advertising-related sale, sharing, or targeted advertising may be exercised through the Your Privacy Choices page linked in the Site footer.

Shopify states that, when its automated opt-out page, qualifying Global Privacy Control signals, or properly integrated privacy tools are used, applicable customer activity is marked so that Shopify Network Intelligence does not use it for advertising purposes.

14. Data Retention

Vyzzor retains personal information for periods reasonably necessary to:

  • Fulfill orders;
  • Provide services;
  • Maintain records;
  • Support authorized reorders;
  • Resolve claims;
  • Prevent fraud;
  • Respond to chargebacks;
  • Enforce agreements;
  • Comply with tax and accounting requirements; and
  • Establish, exercise, or defend legal claims.

Artwork and production files

Artwork, proofs, approval records, and production files are generally retained for approximately six months after order fulfillment.

They may be retained longer when reasonably necessary because of:

  • An authorized reorder;
  • A continuing business relationship;
  • A business account;
  • An active quote or project;
  • A complaint or claim;
  • A payment dispute;
  • A contractual obligation;
  • Intellectual-property documentation;
  • Fraud prevention;
  • A legal hold; or
  • Other lawful business needs.

Vyzzor does not guarantee permanent storage of customer artwork. Customers must retain their own original files.

Order and transaction records

Order, payment, invoice, shipping, tax, accounting, and refund records may be retained for longer periods required for business, accounting, audit, tax, dispute, or legal purposes.

Customer-service and claim records

Communications and supporting evidence may be retained for the period reasonably necessary to resolve the matter and defend the associated transaction.

Public content

Reviews or other public content may remain published until removed by Vyzzor, deleted through the applicable service, or removal is required by law.

Backups

Deleted information may remain temporarily in restricted backups, logs, archives, or disaster-recovery systems until overwritten or removed through ordinary retention processes.

15. Data Security

Vyzzor uses administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, misuse, or destruction.

Safeguards may include:

  • Account-access controls;
  • Restricted access to production files;
  • Secure ecommerce and payment providers;
  • Authentication;
  • Fraud monitoring;
  • Vendor controls;
  • Secure transmission where available;
  • Record-retention procedures; and
  • Physical controls at business and production locations.

No security system is completely secure. Vyzzor cannot guarantee that unauthorized access, loss, or misuse will never occur.

Customers should:

  • Protect account credentials;
  • Use secure passwords;
  • Avoid sending unnecessary sensitive information;
  • Maintain copies of original artwork; and
  • Notify Vyzzor promptly of suspected unauthorized account activity.

16. Privacy Rights and Requests

Depending on the customer’s state of residence and applicable law, the customer may have rights concerning:

  • Access;
  • Correction;
  • Deletion;
  • Data portability;
  • Sale or sharing opt-out;
  • Targeted-advertising opt-out;
  • Certain profiling;
  • Sensitive information;
  • Appeal of a privacy decision; and
  • Non-discrimination for exercising privacy rights.

  • Order number, when relevant;
  • The right being requested; and
  • Sufficient information to identify the applicable records.

The Texas Data Privacy and Security Act provides covered Texas consumers with access, correction, deletion, portability and opt-out rights and generally requires covered controllers to respond to authenticated requests within 45 days, subject to permitted extensions. Small businesses are generally exempt from much of the Act, although the sensitive-data sale rule can still apply.

Vyzzor may honor a request voluntarily even when a particular law does not apply. Doing so does not constitute an admission that Vyzzor is subject to that law in every circumstance.

17. Verification and Authorized Agents

Vyzzor may need to verify identity before processing a request.

Verification may include:

  • Email confirmation;
  • Account authentication;
  • Order number;
  • Billing or shipping information;
  • Confirmation of prior interaction; or
  • Other information reasonably necessary to prevent unauthorized disclosure or deletion.

Where applicable law permits an authorized agent to act for a customer, Vyzzor may require:

  • Written authorization;
  • Verification of the customer’s identity;
  • Direct confirmation from the customer; or
  • Other reasonable proof of authority.

18. Privacy Appeals

When applicable law provides a right to appeal a denied privacy request, an appeal may be submitted to:

Include:

  • The original request;
  • Vyzzor’s response;
  • The reason reconsideration is requested; and
  • Any supporting information.

When required by applicable law, a denied appeal response will include information concerning how to contact the appropriate state authority.

19. Children’s Information

Vyzzor’s Site and services are not directed to children under 13.

Vyzzor does not knowingly collect personal information directly from children under 13 without legally required authorization.

Customers must not submit information about a child unless:

  • It is necessary for a legitimate product or service;
  • The customer has lawful authority to submit it; and
  • Any required parental or legal authorization has been obtained.

20. Changes to This Supplement

Vyzzor may update this Supplement to reflect changes in:

  • Products;
  • Services;
  • Production practices;
  • Communication channels;
  • Technology;
  • Service providers;
  • Advertising practices;
  • Retention procedures; or
  • Legal requirements.

The updated version will display a revised “Last updated” date.

Material changes will apply prospectively unless applicable law requires additional notice or consent.
